I'm Reesa, one of the product managers here at Bluebeam. We've been working on some ideas around how notifications and updates show up in Bluebeam solutions, and we're curious about how this feels for you day-to-day. We know some of you are in the trenches of your email inbox, setting up custom filtering rules, or opting out altogether.

If you could wave a magic wand and change how you get notified about things in the product (such as a Project update or Session invitation, for example), what would that look like for you?

For me, it's less about getting more notifications and more about getting the right ones.

I'd love to choose exactly what I get notified about.

🔹 Session invites- Definitely.

🔹Someone replying to my markup- Yes.

🔹Every small Project update- Maybe not.

A simple in app notification centre would also be great, so I can quickly catch up without digging through my inbox. And a daily summary option for non urgent updates would be a nice touch. Thanks Reesa

My personal preference is for session invitations to be emails written by the host, so people will pay more attention to it. I like seeing the session activity within the Revu studio panel, and having different ways to summarize the activity would be useful.

I really don't want email notifications from Bluebeam unless it's a new session invite, or a particularly important or time sensitive project that I opt-in on. Everything else can wait until I go and open Bluebeam, and there should be a dashboard of what activity has occurred in the last X days. But there's not so it's all noise and when you block it too much you lose important activity - so therefore Bluebeam becomes either an unreliable tool or annoyance.

What kinds of events would you want to see summarized in a dashboard? (for example: comments, markups, Project updates, invites, etc.)

It's helpful to hear that you'd prefer Session invites to be written by the host. What information is most useful for the host to include in an invite?

Similar to the sentiments above, emails should be used to initiate Session and/or Project invitation for users. Having the option to opt into specific email notifications would also be a great option (new files in sessions, outstanding alerts, or other similar items that stakeholders to the project may need to be aware of, but aren't daily operators in the files).

I would like to see a Notifications Panel added as an option, if not another available tab on the Studio panel. As someone who manages multiple projects and project teams, it would be beneficial for me to see updates appear live across multiple Projects and Sessions without having to return to the top Studio level to check for pending notifications. Tracking activity across all active items in one place is a PM dream.

When I invite users to join a session, I include instructions like if reviewers should use a certain tool chest and status options from the profile, and also the deadline for when each reviewer type should complete their review.

I think you should just give users options and the ability to build custom triggers, alerts and summaries. It's going to change really often.

On the estimating side I'm usually running a handful of active Sessions/Projects at the same time, so a few things would make a real difference for me.

I love @Nathan Pope's idea about a Notifications Panel in Studio. Right now I have to click into each Project separately just to see if anything moved, and once you're juggling more than a couple that gets old fast.

I'd also take a daily digest over real time emails for the small stuff, a markup reply, a minor file update, that kind of thing. Keep Session invites and anything deadline driven as real time, but let the rest roll up into one summary.

And honestly @Josh Gebelein nailed it (as usual), just give us the toggles and let us set our own triggers. What counts as urgent for someone running ten sessions is totally different than someone popping in for a quick review.

In addition to the great ideas above, we are currently struggling with adapting our well established workflows of including deadlines and key project information as messages in Session invites. With the removal of custom messages, Session creators now have to remember to create separate emails to send to the team with this information or not send invites through Revu at all, and instead send an invite link to the session in an email. Neither solution is ideal and terribly confusing for users who don't realize the tool they can still click on in product doesn't send the message they wrote.

Hi Rebecca, thanks for sharing this. We're working on this feature. We've heard similar feedback from a number of users who used custom invite messages to include deadlines, project instructions, and other critical information.
